Restwert von IT-Hardware

In accounting, a three-year-old notebook often stands at zero euros. On the used market it can nevertheless still have value. This gap between book value and market value is the reason why a look at the residual value of IT hardware is worthwhile. Here you will learn what determines the residual value, how it develops and how companies use it.

In brief

The residual value of IT hardware is the amount that can still be achieved for a used device at the end of its use in the company, for example by selling to a remarketing provider. It depends mainly on age, condition, specification and demand and falls with every month. In IT asset disposition, the residual value helps decide whether devices are sold, passed on internally or recycled.

Definition: What does residual value mean in IT?

In general, residual value refers to the value of an asset after a certain period of use. The term is known from car leasing but is used for every type of fixed asset. For IT hardware, in practice it means the achievable market value of a used device at the time of decommissioning.

It is important to distinguish it from two related measures:

  • Residual book value: the value at which the device still stands in the balance sheet after scheduled depreciation. It follows tax rules, not the market.
  • Calculated residual value: a planned value, for example in a leasing contract or a total cost of ownership calculation. It is an assumption, not an offer.

The market value can be above, below or equal to the residual book value. If computers are depreciated in one year under the rule for Digital business assets , a residual book value of zero is often set against a positive market value.

Factors influencing the residual value

Factor Effect on the residual value
Age and model generation The younger the generation, the higher the demand. New processor or operating system generations can quickly devalue older models.
Condition (Grading) Scratches, display defects or worn keyboards lower the condition grade and thus the price.
Equipment Processor, memory, SSD size and screen determine which buyers the device is still interesting for.
Battery A heavily aged battery reduces the value of notebooks, tablets and smartphones.
Blocking Active BIOS passwords, MDM profiles or an activation lock make devices hard to sell.
Completeness Power adapters, docking stations and original packaging increase the value, missing accessories lower it.
Quantity and uniformity Larger quantities of identical models are easier to market than many individual pieces.
Manufacturer support Devices after End of Life or without updates lose demand.

Rule of thumb: The residual value is not a fixed amount but a price with an expiry date. Anyone who stores old devices for months gives away value.

How the residual value develops

IT hardware does not lose its value evenly. Typical turning points are the launch of a new device generation, the end of manufacturer support and the end of support of an operating system. For example, the end of support for Windows 10 in October 2025 changed demand for devices that do not support Windows 11. Stored devices also keep aging: batteries lose capacity, and the models move back a generation.

For companies, this means: the timing of recovery is one of the few factors they can control themselves.

Calculation example without market prices

A simplified example shows how you translate the residual value into a decision. Specific prices depend on the market on the day of the offer.

  1. A company replaces 200 notebooks. The devices are fully depreciated for tax purposes, the residual book value is zero.
  2. IT creates a device list with model, specification, serial number and rough condition.
  3. A remarketing provider names a purchase price per model and condition grade. Costs for collection, erasure and disposal of non-recoverable devices are deducted where applicable.
  4. The result is the net proceeds. Because the residual book value is zero, it is recorded in full as income in accounting.
  5. Devices without market value are professionally disposed of; there is a record for this as well.

How the depreciation of notebooks works and why a written-off device can still be worth money is explained in our guide Laptop written off? Why it’s still worth money. Please clarify tax questions with your tax advisor; this entry does not replace tax advice.

What companies make of the residual value

  • Sale to a remarketing provider: The provider buys the devices, erases them and remarkets them.
  • Buyback on new purchase: The residual value is offset against the purchase of new devices.
  • Employee sale: Employees can purchase decommissioned devices.
  • Internal transfer or donation: The residual value stays in the company or is used for good causes.
  • Recycling: For devices without market value, material recovery remains.

What contribution realized residual values can make to liquidity is described in the article Why old laptops could solve liquidity problems.

Residual value at Second IT

Frequently asked questions about the residual value of IT hardware

How do I calculate the residual value of a laptop?

There is no fixed formula, because the residual value is a market price. Decisive are model, specification, condition and demand at the time of sale. The most reliable is an offer based on a device list with serial numbers and specification.

Is the residual value the same as the residual book value?

No. The residual book value results from depreciation and appears in the balance sheet. The residual value is the price achievable on the market. The two values can differ greatly, especially for devices with short depreciation.

Do defective devices also have a residual value?

Often yes. Defective devices can be repaired or used as parts donors. How high the value is depends on the defect and the model. Devices without market value are professionally recycled.

When should I sell old devices?

As a rule, as soon as possible after the replacement. Stored devices keep losing value through new model generations and aging batteries. In addition, stored, unerased data carriers pose a data protection risk.

Does the residual value of IT hardware fall evenly?

No. Typical turning points are the launch of a new device generation, the end of manufacturer support and the end of support of an operating system, for example of Windows 10 in October 2025. Stored devices also keep aging, because batteries lose capacity.
