In brief

A data protection container is a lockable collection container in which confidential documents or data carriers are collected until destruction without unauthorized persons being able to access them. Common are bins or containers with a drop slot and lock as well as sealable transport containers. For decommissioned data carriers, they close the gap between the workstation and erasure or destruction.

Requirements for a data protection container

  • Closure: The contents must not be removable without a key or tool. The drop slot prevents reaching in.
  • Tamper protection: Numbered security seals show whether a container was opened in transit.
  • Suitable design: Hard drives and devices need sturdy containers; for paper, bins are sufficient.
  • Documentation: Container number, seal number and contents belong in the handover record.

Data protection containers for IT hardware

For notebooks, smartphones and removed hard drives, sealable cases or lockable roll carts are common. For this, Second IT provides PELI Cases with two high-security seals in accordance with ISO 17712 and lockable roll carts with security seals; you acknowledge the collection on your copy of the handover record. When transported with our own Security logistics all data carriers are sealed and only unsealed in-house. How the whole chain fits together is shown in the entry Chain of custody.

Frequently asked questions about the data protection container

May I throw hard drives into a document bin?

Only if the service provider explicitly provides the bin for data carriers and destroys them separately. Paper and hard drives need different destruction methods.

How long may data carriers stay in the container?

As briefly as possible. The longer data carriers are stored, the greater the risk. Set fixed collection intervals.

What is the difference from a normal transport box?

A box can be opened unnoticed. A locked and sealed container makes every access visible.

What are security seals on data protection containers for?

Numbered security seals show whether a container was opened in transit. The seal number belongs in the handover record together with the container number and contents. This makes any unauthorized access detectable and the handover provable.

Which container is suitable for notebooks and removed hard drives?

Hard drives and devices need sturdy containers. Bins with a drop slot are sufficient only for paper. Sealable cases or lockable roll carts are common. The contents must not be removable without a key or tool.
